The Doc Express service contains several standard drawers, though you can modify their names and content. You can add drawers of your own to the Doc Express service and to individual contracts within the service.
The standard drawers are:
Manage drawer access
The Manage New Drawer Access page displays the organizations, groups, and users assigned to each drawer. When a drawer is added to a contract, these organizations, groups, and users are automatically given access to the drawer in the contract. For example, if you assign a Resident Engineers group to a change order drawer, every time a change order drawer is added to a contract, the Resident Engineers group is granted access to the drawer without having to be added.
Groups should already be created and all users must already have Infotech® accounts. Agency users added to the drawer are assigned read/write access. Organization users added to the drawer are assigned prime access.
- Select Template Access in the Sidebar menu.
Click Actions and select if you want to add an organization or users, a group, or agency users to the contract.
Change the role for the user or group, if necessary.
Select each drawer to which you want the user or group to have access by clicking the OFF button for that drawer to change it to ON. If you granted access to all drawers to a user or group, all the drawers will display ON.
For an organization or users
Organizations and users that already have access won't appear in your list. If there are multiple businesses with the same vendor name and you don't know which one is correct, please contact customer support.
- Enter the name of the organization and click Search.
Select the organization name and click Next.
- Select the Add Organization to the contract link at the top to add all Doc Express users for that organization to the drawer.
- Select individual users if you're not adding all members of the organization.
Select the check box if you want to grant access to all drawers in the contract to the selected users.
- Click Save.
For a group
A group must be created before it can be granted access to a contract. Groups that already have access won't appear in your list.
- Select the group.
Select the check box if you want to grant access to all drawers in the contract to the group.
- Click Save.
For agency users
Members of your agency that have a Manager role in the Infotech Express service are automatically granted access to your templates and won't appear in your agency list. Members of your agency already granted access also won't appear in your agency list.
- Enter the user’s name in the field and click Search.
Select the name.
Select the check box if you want to grant access to all drawers in the contract to the selected user.
- Click Save.
